General info

The current cover letter PDF used when sharing profiles for "application by download" vacancies requires an update to improve its visual presentation and functionality. This story aims to implement a new cover letter template with dynamic variables that ensure personalized and professional communication. The template will automatically populate key information such as the vacancy title, candidate name, and other relevant details. The design and structure of the cover letter will follow the guidelines provided in the Figma design.

The new cover letter PDF will contain several key variables that adapt to each profile and vacancy. These variables include the vacancy title (both in the body and footer), the candidate’s name as a clickable link to the digital profile (secured with a token), and a link to Rocken’s data privacy page. By implementing this solution, the CRM system will ensure that every shared profile has a well-designed, personalized cover letter that adheres to the company’s communication standards.

User story

As a CRM user,
I want the "Cover Letter.pdf" file used for sending profile PDFs in vacancy sharing (application by download) to be updated with a new design template,
So that the cover letter looks professional and is personalized with accurate details about the vacancy and candidate.

Acceptance criteria

Scenario: Display correct vacancy title in the cover letter.
Given the system generates a cover letter for a candidate.
When the cover letter is created.
Then the title dynamically displays the vacancy title.

Scenario: Display vacancy title in the body of the cover letter.
Given the candidate is matched with a job.
When the cover letter body is generated.
Then the body displays the vacancy title dynamically.

Scenario: Link candidate’s name to their shared profile.
Given the cover letter is generated.
When the candidate’s name appears in the body.
Then the name is a clickable link to the candidate’s profile page.

Scenario: Display secure access note with a privacy policy link.
Given the cover letter is generated.
When the security and access note is displayed.
Then the note includes a link to the privacy policy.
